Program writing is an important part of communication and getting the job done. Program writing allows you to give personnel the exact steps to create the result.
Program thinking streamlines the performance. It allows everyone to be on the same page with clear directions and allows others to change the program as they learn more about this new program. They then submit the proposed changes to Danyel, our office manager, for approval. (Or if necessary, Danyel will send to the doctor in charge (Dr. Matt Sheldon) for approval.)
Here is an example of a program that I just wrote. Note that it gives all the details as I see it in this pilot program. I can then give it to Danyel for execution. Danyel will assign each step that she may not do herself. The person who does each step may add or subtract details as she finds out more information and send it back to Danyel (or to the doctor in charge) for approval. Note that this is all done by written communication. Acknowledgment of receipt of the program is given by the people receiving the program. No verbal communication.
Pilot Program
Patients are being sent to us by Dr. YS for CT scan and for radiographic diagnosis by Beamreaders. Dr. S’s office manager is Maria.
Pilot program: Danyel/Matthew
1. Patient will call telling us that he/she was referred by the above.
2. We make an appointment for the patient to be seen by radiology personnel as determined by Danyel for a CT scan only. (No doctor visit)
3. Patient arrives and fills out a brief intake form. ( Name, address, phone number, and email address are enough in my opinion. I would check with Beamreaders to determine what information they need. We’ll then create a form.)
4. Patient pays us $_.
5. We take a CT scan.
6. We send the scan out to Beamreaders with instructions to send the report to Dr. S at the address above. (Danyel, please talk with Maria in Dr. S’s office and ask how it should be sent, email or snail mail or both, and the email address to which it should be sent.)
7. We give the patient a medical insurance form for the patient to submit for reimbursement. ICD 10 Diagnosis code for sleep apnea is G47. 30 (Danyel, please call Beamreaders for the specific on how to fill out the form.My understanding is that the following needs to be put on the form:Diagnosis code: G47. 30 Sleep Apnea, UnspecifiedTreatment codes: There will be at least two: 1. The CT scan itself and a fee; 2. Beamreaders fee for reading the CT scan. Beamreaders should give you everything you need, a sample form to give the patient and all the information necessary for reimbursement. The total fee on the insurance form should equal $_.
8. We upload the CT to Beamreaders.
Additional: Diana at V… referred Dr. S to us. Let’s call V…, verify who Diana is, and send her a nice gift.
